Privacy Policy
How we collect, use, and protect your data.
1. Information We Collect
Account Information: Name, email, phone, company, job title, and billing details when you register.
Customer Data: Shipment records, purchase orders, invoices, documents, and carrier data synchronized from your TMS/ERP. This data is owned by you.
End User Data: Names, emails, and login credentials for your customers accessing the white-labeled portal.
Usage Data: Pages viewed, features used, AI queries, login times, IP addresses, browser and device info.
2. How We Use Your Information
We use your information to provide and improve the Platform, process transactions, synchronize TMS data, generate Synthetic Intelligence analytics and predictions, send transactional notifications, respond to support requests, and comply with legal obligations. We do not sell your personal information.
3. Synthetic Intelligence Data Processing
Synthetic Intelligence models process your data exclusively within your tenant scope using retrieval against your tenant database. No cross-tenant access occurs. By default we use Microsoft Azure OpenAI; tenant administrators may configure alternative providers including OpenAI, Anthropic, Google Gemini, or self-hosted Ollama. We do NOT use your data to train Synthetic Intelligence models for other customers or general purposes. You may disable Synthetic Intelligence features at any time per tenant or per user.
3a. Pulse Chat Preview — Website Visitor Data
The Pulse Chat preview widget on this website allows visitors to ask questions about PulseCargo. When you use it:
- Your message text is sent to Anthropic Claude (via Anthropic's API) solely to generate a grounded response. Anthropic processes this data under their Privacy Policy. We do not permit Anthropic to use your messages for model training.
- Conversations are logged in PulseCargo systems for product improvement and quality review. Each log entry includes a hashed (anonymized) IP address, a session identifier containing no personally identifiable information, the question, the answer, and the source pages used to generate the answer.
- Chat logs are retained for 90 days, after which they are aggregated and purged from identifiable storage.
- Do not share account credentials, sensitive customer data, or personal information in chat messages.
Legal basis for processing: Legitimate interests (GDPR Art. 6(1)(f)) — improving product quality and pre-sales support. You may request deletion of your chat log data by contacting privacy@pulsecargo.ai with the approximate date and time of your session.
4. How We Share Information
We share data only with service providers who help operate the Platform (Microsoft Azure for hosting and Azure OpenAI for default Synthetic Intelligence; configured email service for transactional notifications; Stripe for billing and Stripe Connect; Twilio for SMS multi-factor authentication where enabled; Google Maps and MarineTraffic for shipment visualization), with your Organization's administrators, when required by law, or in connection with business transfers. We never sell personal information.
4a. SMS Communications & Mobile Phone Numbers
No third-party sharing of mobile numbers. We do not share mobile phone numbers or SMS opt-in data with any third parties or affiliates for marketing or promotional purposes. Mobile numbers collected through SMS opt-in (texting our Pulse Concierge line at +1 (866) 232-9482) are used solely to send replies and follow-ups within the conversation the recipient initiated.
How opt-in works. When you text our Pulse Concierge line, the act of initiating the conversation constitutes your consent to receive SMS replies from our AI assistant Aria and from PulseCargo staff for the purpose of that conversation. We do not maintain marketing distribution lists and we never initiate unsolicited outbound SMS campaigns.
Message frequency. SMS message frequency varies by conversation. Typical inbound and reply volume is fewer than 100 messages per month per account, with one to five replies per conversation depending on the scope of the inquiry.
Opt-out and help. Reply STOP (or UNSUBSCRIBE) at any time to opt out of all SMS communications from PulseCargo. Reply HELP to receive help instructions. Message and data rates may apply depending on your wireless carrier and plan.
Voice calls. Calls placed to our Pulse Concierge line may be recorded. The verbal recording disclosure plays at the start of every call. See our Voice Recording Disclosure for the full script and the basis on which the recording occurs.
5. Data Retention
Customer Data is retained for the duration of your subscription plus 30 days. Full deletion including backups occurs within 90 days of termination. You may request data export in CSV or JSON format at any time.
6. Data Security
We implement AES-256 encryption at rest, TLS 1.3 in transit, multi-factor authentication, role-based access control, database-level tenant isolation, and immutable audit trails. See our Security page for details.
7. Your Rights (GDPR & CCPA)
You may request access to, correction of, or deletion of your personal information. You may request data portability (CSV / JSON export) or restrict processing. The Platform exposes self-service privacy endpoints to authenticated users (data access request, deletion request, data export, opt-out) and an admin-initiated export path for your Organization administrators. To exercise these rights from outside the Platform, contact privacy@pulsecargo.ai. We respond within 30 days, in line with GDPR Articles 5 / 32 / 33.
8. California Residents (CCPA / CPRA)
California residents have additional rights under CCPA / CPRA § 1798.100 / .105 / .150, including the right to know, delete, and opt out of sale of personal information. We do not sell personal information. Use the in-Platform privacy endpoints or contact privacy@pulsecargo.ai to exercise CCPA / CPRA rights.
9. International Transfers
Data may be processed in the US or other jurisdictions where Azure data centers operate. We use Standard Contractual Clauses (SCCs) where required for international transfers.

We use cookies for authentication, preferences, and analytics. See our Cookie Policy for details. You can manage cookies through your browser settings.
11. Changes
Material changes are communicated via email or Platform notice at least 30 days before the effective date.
